Body Corporate AGMs Explained: What Happens?
If you own a sectional title unit, you will receive a notice for the Annual General Meeting (AGM) every year. Many owners set it aside, assuming it's routine. It is actually one of the most important dates on the scheme's calendar. This guide explains what to expect, so you can walk in prepared.

What Is a Body Corporate AGM?
The AGM is the yearly meeting where owners deal with the key governance and financial matters affecting the scheme. It is not simply a trustee meeting. Trustees run the scheme day to day, but the AGM belongs to the owners. It is your opportunity to take part in managing the property you share.
What Happens Before the AGM?
Owners normally receive an AGM pack ahead of the meeting. Depending on the scheme, it may include:
The AGM notice and agenda
Minutes of the previous meeting
Annual financial statements
The proposed budget
Insurance information
Trustee nomination documents
Proxy forms
Maintenance information, where applicable
Please read this pack before the meeting. Opening it for the first time at the AGM leaves little room for good questions or informed decisions.
What Gets Discussed at the AGM?
Here is what the agenda usually covers, in plain English:
Financial statements: a report on what the scheme earned and spent over the year.
Budgets: the proposed Administrative Fund (day-to-day running costs) and Reserve Fund (savings for major future repairs).
Contributions: the levies owners will pay, based on the approved budget.
Insurance: what the scheme is covered for and what it costs.
Maintenance planning: work completed and projects expected in the year ahead.
Trustee elections: who will serve on the board.
Auditor appointment: who will review the scheme's finances, where applicable.
Owner matters: questions or proposals raised in line with the agenda.
Other prescribed business: items required under the Sectional Titles Schemes Management Act (STSMA) and the scheme's rules.
If you've ever wondered where your levy goes, the budget and financial statements are where the answers sit.
How Are Trustees Elected?
Owners elect trustees to manage the affairs of the Body Corporate between general meetings. But electing trustees does not hand over every decision. Owners remain part of the decision-making structure, and certain matters still need owner approval. We'll look at how voting works in a future article.
What If You Cannot Attend?
Not being able to attend doesn't mean you can't take part. An owner who can't make it may be able to appoint someone else to represent them through a proxy. Proxy forms are normally included in the AGM pack, and the detailed rules are worth covering separately, so keep an eye out for our next post.
Why Owner Participation Matters
Owners sometimes raise concerns about budgets, maintenance, trustees or levy increases only after decisions have been made. The AGM is the best time to:
Ask questions
Understand the finances
Raise concerns appropriately
Take part in decisions
Learn about planned expenditure
An informed owner makes for a stronger scheme. Questions asked early can prevent disputes later.
The Managing Agent's Role
It helps to know who does what. The Body Corporate is the legal entity made up of all owners, and its trustees make decisions on its behalf. A managing agent supports the trustees with administration and compliance. They don't replace them.
For AGMs, that support can include planning the meeting, preparing notices and agendas, handling proxies and nomination forms, attending the meeting, and keeping proper records. Professional body corporate management in Pietermaritzburg can take much of that administrative pressure off trustees, so they can focus on running the scheme.

Final Thoughts
An AGM should not be viewed as just another administrative obligation. It is one of the key opportunities owners have to understand and take part in how their scheme is managed. Read the pack, ask questions, and if you can't attend, use a proxy.
